Close the Feedback Loop Without Promising a Fix

A customer shares a problem. The team listens carefully, says “we’ll look into it,” and the customer is left unsure what that means. The gap isn’t always the decision; it’s the missing agreement about what happens next.

Try a feedback receipt with four plain-language parts:

  • What we heard you say
  • What we can change—or can’t promise yet
  • Who owns the next step
  • When we’ll update you, even if the answer is still pending

The customer can correct the summary before the team records it. That makes listening reciprocal, while keeping a proposal distinct from a commitment. It also gives the team room to say no or explain a limit without making the feedback disappear.

A useful test: after the conversation, could both sides describe the next step the same way?
